Job Role:
The Administrative Assistant will support the management and local office and should have excellent verbal and written communication skills. This is a full-time position and candidates must be available to work between the hours of 10AM – 7PM (actual times may vary). This is NOT a remote position and candidates MUST be able to travel to the location of employment – Mississauga, ON.
Responsibilities & Duties:
· Organize and schedule appointments
· Plan meetings and take detailed minutes
· Assist in the preparation of regularly scheduled reports
· Update and maintain office policies and procedures
· Act as the point of contact for internal and external clients
· Outbound calling, taking inbound calls, e-mail communication, cold calling, coordination and scheduling of real estate buying and selling opportunities, and overall management of sales pipeline.
· Rigorously prospect for new business and follow up with leads in your pipeline daily from various lead sources – website registrations, listing inquiries, Facebook registrations, direct-mail responses.
· Liaising with our clients and global offices with regards to client requirements and projects.
· Preparing & sending various forms of communications to new and existing customers.
· Data entry & administration-related duties such as invoice processing, corresponding with lawyers, agents, and related parties.
Preferred Qualifications:
· Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
· Ability to communicate effectively with clients, vendors, and agents in written and verbal form
· Ability to set and close appointments over the phone
· Excellent organizational, follow up and time management skills
· Must be able to multi-task and prioritize work
