As a valued member of Brandt’s Real Estate Team, the Property Administration Manager will report directly to the VP of Real Estate, the role will cover all aspects related to property administration for Brandt’s property portfolio. This role is located in Regina, Saskatchewan.

DUTIES AND RESPONSIBILITIES

  • Ensure a solid financial and performance management framework is in place to monitor the ongoing business plans and results
  • In collaboration with Brandt corporate teams, lead strategic planning initiatives (ESG) and work with management and staff to deliver on our strategic and annual plans
  • Work directly with 3rd party consultant to proactively manage property tax appeals to minimize property taxes paid across Brandt portfolio
  • Prepare annual real estate operating budget for Brandt portfolio of assets
  • Administer the property management system for the Brandt Real Estate portfolio
  • Analyze property financial statements (monthly/annually). Prepare robust management reporting with thoughtful variance analysis and insights for executive management review. Manage and confirm actual building revenues and expenses are within approved budget.
  • Lead and supervise all property administration staff
  • Create lease abstracts, prepare leases for execution and distribution to appropriate parties
  • Assist in preparing tenant operating cost reconciliations and verify accuracy prior to year-end billing
  • Update, maintain and audit all tenant information, including lease profiles, to ensure accuracy.
  • Resolve tenant operating cost issues. Reply to tenant inquiries regarding operating costs and other payments
  • Complete Real Estate accounts payable. Liaise with Accounting in relation to property revenues/expenses, etc.
  • Manage the accrual process. Periodically follow up on outstanding POs and identifying expenses to be accrued at year-end
  • Provide support and information to Brandt management in the preparation of variance analysis, quarterly reports, forecasting, and budgeting
  • Prepare and coordinate initial rent letter and rent notices to all tenants
  • Coordination of tenant move in/move out activities and documentation
  • Provide commercial and analytical support on key corporate projects and initiatives
  • Working with internal senior management, conduct annual lease review and provide recommendations to rental adjustments
  • Analyze financial, legal and contractual problems and, provide solutions or recommendations
  • Review 3rd party leases to ensure all terms and conditions of lease are strictly enforced and maintained
  • Work with property owners and tenants to prepare lease renewal and new leasing documentation
  • Other duties as required

  • Working knowledge of Sage accounting system is an asset
  • Business/Financial modeling experience is preferred
  • Proven organizational and multi-tasking skills; ability to cope with changing client needs and deliver successful results within time frame and in a professional manner
  • Capability of interpreting required information from a variety of lease formats
  • Capacity to achieve high output while working toward deadlines and under pressure
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint

Required Experience

  • Minimum of 2 years’ experience in property management/lease administration
  • Degree in Commerce or equivalent. Preference will be given to candidates who have completed or are working towards a professional designation; (CPA, CMA, CGA, CA), (RPA) or (CPM)
